YOU WILL NEVER FORGET IT RENTAL AGREEMENT
Thank you for choosing You Will Never Forget It to be a part of your event. We are committed to providing a high-quality, seamless photo booth experience. This agreement outlines the terms and conditions for your rental and ensures all parties are aligned in expectations and responsibilities.
Service Period

The Provider agrees to maintain the photo booth in operational condition for at least 80% of the scheduled rental period. Temporary interruptions may occur due to necessary maintenance, including but not limited to, replenishing media, adjusting equipment, or resolving technical issues.
PAYMENT TERMS
A non-refundable deposit of $100.00 is required upon signing this agreement. The event date is not considered reserved until the deposit is received. The remaining balance is due no later than two (2) days before the event date. Failure to remit payment by the due date may result in a 10% late fee and/or cancellation of services without refund of the deposit. A $35.00 fee will be applied to all returned checks.
ACCESS, SPACE, AND POWER REQUIREMENTS
The Client is responsible for ensuring that an appropriate location is provided for photo booth setup. A minimum floor space of 10’ x 10’ is required. A standard 110V, 10-amp, three-prong outlet must be available within 50 feet of the setup area, with no other devices sharing the circuit. The Client is responsible for any delays or damages caused by insufficient or faulty power supply. Crowd control and clear directions to the venue must be provided, along with safe and suitable working conditions for the Provider’s staff and equipment.
DATE CHANGES AND CANCELLATIONS
A seven (7) day grace period applies to the non-refundable deposit. After this period, any request to reschedule must be submitted in writing at least twenty (20) days prior to the original event date. Date changes are subject to availability and will require a new service agreement. If the requested date is unavailable, the deposit will be forfeited. Cancellations made less than twenty (20) days prior to the event will result in forfeiture of all payments received.
TRAVEL AND PARKING
Packages include travel within a 50-mile radius of zip code 60090. Additional mileage will incur a fuel surcharge. The Client must provide suitable parking for the Provider's vehicle at the event venue.
INSURANCE
The Provider carries general liability insurance with coverage of at least $1,000,000. A certificate of insurance is available upon request, with seven (7) business days’ notice required for venue-specific documentation.
OUTDOOR SETUP REQUIREMENTS
For outdoor events, the photo booth must be placed in a location that is:
Fully dry and sheltered from precipitation
On a paved or grassy surface (not dirt)
Protected from wind, excessive heat or cold, and direct sunlight
Appropriately lit for visibility and operation
If weather or site conditions are deemed unsafe or unsuitable for operation, and relocation is not feasible, the Provider reserves the right to discontinue services without refund.
DAMAGE TO EQUIPMENT
The Client is responsible for any damage or loss to the Provider's equipment resulting from misuse, theft, or negligence by the Client or event guests. The Provider reserves the right to refuse service to individuals who misuse equipment or engage in disruptive behavior. Services may be suspended immediately, without refund, if staff is subjected to harassment or equipment is irreparably damaged.
CHILD SUPERVISION
Children under the age of 12 must be supervised by an adult while using the photo booth. The adult need not be in the photo but must be present to ensure safe and appropriate use of the booth.
INDEMNIFICATION
The Client agrees to indemnify and hold harmless the Provider and its representatives, employees, and affiliates from any claims, damages, or liabilities arising from the Client’s event, including use of the photo booth and resulting images.
IDLE TIME & ADDITIONAL HOURS
Idle time may be arranged at an additional cost. Idle time refers to periods when the booth is set up but not operational, at the Client’s request. The Provider will arrive 60–90 minutes before the scheduled service time and depart 30–60 minutes after. If setup or teardown falls outside this window, idle time will be billed at $40 per hour. Additional hours beyond the contracted rental time will be billed at $150 per hour and must be paid prior to extension of services.
ATTIRE
The Provider’s staff will dress appropriately for the event. Specific attire requests should be communicated in advance. Unusual or themed attire may incur additional fees.
MODEL RELEASE
The Client grants the Provider the right to use photos and videos from the event for marketing, portfolio, or promotional purposes unless the Client opts out below. This includes use in print, online, or any form of media. All users of the photo booth consent to being photographed and waive any claims related to the use of those images.
ONLINE PHOTO HOSTING
Photos may be hosted online at no additional cost, enabling guests to view and download images. The Client has full rights to high-resolution photos. For events held at schools, images will not be posted without password protection.
PHOTO DESIGN
The Provider will customize the photo booth layout to match the event theme. Up to three (3) layout revisions are included. Additional revisions will incur a $15 charge per revision. Standard layouts include space for two lines of text, with optional inclusion of logos or custom graphics.
MEAL ACCOMMODATION
The Client acknowledges that 1–2 Provider staff members will be on-site for the duration of the event. Please indicate if venue-provided meals will be available to them.
EVENT GRATUITY
We do not include gratuity in our pricing, nor do we display a tip jar without prior approval. However, at past events, guests have inquired about the option to tip. Please let us know your preference regarding the use of a tip jar at your event:
MISCELLANEOUS TERMS
If any provision of these terms shall be unlawful,void, or unenforceable, that specific provision shall be considered separate and will not affect the validity of the remaining terms. This agreement constitutes the full understanding between the Provider and the Client and may only be amended in writing, signed by both parties. Any disputes will be resolved through arbitration. If the Provider fails to deliver a working photo booth for at least 80% of the service period, a prorated refund will be issued. A full refund will be provided if the on-site printer does not function for the entire event. In such cases, the Provider will offer a link where guests can download their digital photo files free of charge. This clause does not apply to social media-only booths.

Yes, minor adjustments (such as timing or add-ons) can be made up to two weeks prior to the event. All changes must be requested in writing and confirmed by both parties.
Cancellations must be submitted in writing. Please refer to the cancellation policy in your contract for applicable fees and refund eligibility based on the cancellation timeline.
Absolutely. Add-ons such as neon signs, luxury props, and highlight reels can be added up to two weeks before your event. Just let us know and we’ll update your invoice accordingly.
We typically require access to a power outlet and a minimum 10'x10' space with overhead cover if outdoors. Details will be discussed during planning.
